Communication Configuration Types
Overview:
This article explains the various communication configuration types available in VZ. Communication configurations allow sending automated emails and texts through VZO based on specific actions or statuses within the platform. Each configuration type is tailored to a particular scenario, ensuring timely communication with students and supporters.
**IMPORTANT NOTE: Any Communication that is setup as a Text Message can only send to individuals who have opt-ed in to receive SMS Messages
Communication Types
1. New Imported Student
- Purpose: Sent one-time to students when their record is first imported into VZO.
- Trigger: Created the first time the student appears in the data file.
- Medium: Email only.
2. No Account Created Reminder
- Purpose: Reminds students to create an account.
- Trigger: Sent at a set frequency (e.g., every X days) when the student has not yet created an account.
- Medium: Email only.
3. Account Created
- Purpose: Notifies students when they’ve successfully created an account.
- Trigger: Sent one-time upon account creation.
- Medium: Email only.
4. Pending Reminder
- Purpose: Reminds students to select an event or orientation date.
- Trigger: Sent at a defined interval (e.g., every X days) when a student has created an account but has not chosen an event date.
- Medium: Email and text.
5. Pending Submission Reminder
- Purpose: Reminds students who have chosen an event date but have not submitted or paid for their reservation.
- Trigger: Frequency-based, sent to students and/or guests until payment or submission is completed.
- Medium: Email and text.
6. Reservation Confirmations: Orientation/Optional Events
- Orientation Session: Sent when a reservation changes status (e.g., Submission Received).
- Optional Event: Similar to Orientation Session, but specific to optional events, triggered when a student signs up.
- Medium: Email and text.
7. Payment Notifications: Payment Confirmation/Payment Reminder
- Payment Confirmation: Sent upon successful payment.
- Payment Reminder: Frequency-based reminder for students who have completed steps but not yet paid.
- Medium: Email and text.
8. Event Reminders: Orientation Session/Optional Event
- Orientation Session Reminder: Sent a specified number of days before the session.
- Optional Event Reminder: Similar to the Orientation Reminder but specific to additional events.
- Medium: Email and text.
9. Attendance-Based Follow up Messaging: Thank you For Attending/No Show
- Thank You for Attending: Sent post-event to students marked as attended.
- No Show: Sent to students marked as absent.
- Medium: Email and text.
10. Supporter (No Event) Reminder Imported Student
- Purpose: Reminder email that can be sent to supporters that are not added as guests for an event.
- Trigger: Set as a frequency to send between specified start and end dates.
- Medium: Email and Text
11. Additional Reminders and Announcements
- Task List Item Reminder: Frequency-based reminders for specific or general tasks.
- Supporter Announcement: One-time email sent to all supporters in the system.
- Medium: Email and Text.
