Communication Configuration Types

Use this article when selecting a Communication Type while building a configuration, explaining the purpose of each type to staff or clients, or troubleshooting why a communication did or did not send. Each Communication Type in VisualZen (VZ) defines the trigger logic that determines when and how a message is sent.  ⚠️ Important Note: Any communication set up as an SMS can only send to individuals who have opted in to receive SMS messages (verify using the Opt-In SMS report).

1. New Imported Student

  • Purpose: One-time message when a student record is first imported

  • Trigger: First appearance in the data file

  • Medium: Email only


2. No Account Created Reminder

  • Purpose: Reminds students to create an account

  • Trigger: Frequency-based (e.g., every X days) until account is created

  • Medium: Email only


3. Account Created

  • Purpose: Notifies students when their account has been created successfully

  • Trigger: One-time upon account creation

  • Medium: Email only


4. Pending Reminder

  • Purpose: Reminds students to select an event or orientation date

  • Trigger: Frequency-based until an event is selected

  • Medium: Email and SMS


5. Pending Submission Reminder

  • Purpose: Reminds students who chose an event but have not submitted or paid

  • Trigger: Frequency-based until reservation submission or payment is complete

  • Medium: Email and SMS


6. Reservation Confirmations (Orientation/Optional Events)

  • Purpose: Confirms reservation status or event signup

  • Trigger:

    • Orientation → Status change (e.g., Submission Received)

    • Optional Events → When a student signs up

  • Medium: Email and SMS


7. Payment Notifications (Confirmation/Reminder)

  • Purpose: Confirms payment or reminds unpaid students

  • Trigger:

    • Confirmation → Sent upon successful payment

    • Reminder → Frequency-based until payment is complete

  • Medium: Email and SMS


8. Event Reminders (Orientation/Optional Events)

  • Purpose: Reminds students of upcoming events

  • Trigger: Set number of days before session/event

  • Medium: Email and SMS


9. Attendance-Based Follow-Up Messaging

  • Purpose: Post-event follow-up based on attendance status

  • Trigger:

    • Thank You → Sent to students marked attended

    • No Show → Sent to students marked absent

  • Medium: Email and SMS


10. Supporter (No Event) Reminder – Imported Student

  • Purpose: Reminds supporters not tied to an event guest record

  • Trigger: Frequency-based within defined start and end dates

  • Medium: Email and SMS


11. Additional Reminders and Announcements

  • Task List Item Reminder: Frequency-based reminders for task completion

  • Supporter Announcement: One-time message to all supporters in the system

  • Medium: Email and SMS


🛑 Troubleshooting Tips

  • Message didn’t send? Verify the selected Communication Type and confirm the trigger conditions were met

  • SMS not delivered? Confirm recipient opted in using the Opt-In SMS report

  • Unexpected frequency? Double-check the configuration’s frequency settings for reminder-based types

  • Wrong audience? Review entity type filters in the configuration setup
