Control Panel Dashboard in VisualZen

When to use this article

Use this article when you need to understand the real-time snapshot displayed on the Control Panel Dashboard. This view helps you interpret communications, reservations, payments, imported students, task list progress, messages, and event activity — all without running multiple reports.

  • Identify what each Dashboard panel shows.

Step-by-step guidance

1. Navigate to the Dashboard

  • After logging into the Control Panel, the home screen displays.

  • Click “Go To Dashboard Overview” to access the panels.

  • ⚠️ Important: The Dashboard does not display automatically — you must use this link.

2. Review the Dashboard panels

The Dashboard is permission-based: you only see panels tied to your access. Panels update in real time.


Imported Student Overview

Appears first because imported student records drive everything else.

  • Imported Students (Total): All student records imported from your institution’s data file.

  • No Account Created: Students who have not accessed VZ.

  • Created Account: Students who logged into VZ at least once. Accessing VZ automatically creates a Reservation record.

  • Counts alignment: Created Account should match Total Reservations in the Reservation Overview.

  • ⚙️ Some institutions add custom categories (e.g., “restricted access”) that may block progression even after import.


Reservation Overview Summary

Shows counts of students in each reservation status. These statuses appear across reports, searches, and communications.

  • Pending: Student accessed VZ but never reached the dates page.

  • Pending Submission: Student selected a date but never submitted.

  • Submission Received: Fully submitted reservation; payment received.

  • Submission Received – Owes Money: Reservation submitted but balance due (e.g., guest added, admin override, post-submission edit).

  • Cancelled: Reservation manually marked inactive — removes access, prevents communications, but preserves data.

  • Total Reservations: Sum of all statuses.


Task List Item Overview

Monitors completion progress for active Task Lists.

  • Access by clicking Task List Item Overview inside the panel.

  • Select the desired Task List (e.g., Freshman Students).

  • Displays, for each task:

    • Completed

    • Incomplete (All Students)

    • Incomplete (Dates/Prerequisites)

  • Useful for tracking task completion trends.

  • Availability depends on permissions and whether the Task List feature is enabled.


Communication Configuration Status

Shows all communications (email/SMS) and whether they’re enabled.

  • Enabled = active and will send when triggered.

  • Disabled = inactive and won’t send.

  • Confirms whether workflows like confirmations, reminders, or follow-ups are active.


Payment Overview

Breaks down payments by method:

  • Credit Card, Cash, Check, Confirm & Pay Later, Refunds, Adjustments.

  • Totals by order count and amount.

  • Shows Total Payments and Total Amount Collected systemwide.


Message Overview

Shows message counts by status: Unread, Read, Replied, Sent, Resolved.

  • Not all institutions use VZ messaging. Some route student messages to an external inbox.


Event Overview

Summarizes reservations and attendance by event/session.

  • Includes submitted reservations, pending submissions, supporter reservations, and attended counts.

  • Can break down by student type, college, or supporter.

  • Displays session-level data: capacity limits, manual closures, filtering logic.


Check Your Work / Validation

  • Confirm you can access the Dashboard Overview via the home page link.

  • Validate Created Account = Total Reservations.

  • Open the Task List Item Overview and confirm completion counts are correct.

Common Pitfalls & Tips

  • Forgot to click into Dashboard Overview? → You’ll still be on the home screen.

  • Panel missing? → Likely a permissions issue.

  • Data looks outdated? → Check if you’re in Production vs Pre-Production.

  • Student not in Reservations? → Verify their Imported Student record first.
