Event Management Enhancements: Export and Import Tools (2025/04)
Overview
Managing events in VisualZen just became more efficient with new export and import options. Whether you're reviewing your current configurations or planning large-scale changes, these tools are designed to save time, improve accuracy, and simplify event management across your system.
This article covers two powerful updates:
-
Exporting event configurations to review or prep for changes
-
Creating, updating, or deleting events in bulk via imports
1. Export Events for Review or Import Prep
You can now export your existing event configurations to:
-
Review setup details for accuracy
-
Share event data across teams
-
Prepare import templates for mass updates or new event creation
Where to Access:
Go to the Events tab and click the “Export” button.
Why It Matters:
Exporting isn’t just for checking your work—it’s also the easiest way to format your data correctly for importing. Many institutions begin by creating one or two events manually, exporting those records, and then using that file as a working template for imports.
This ensures:
-
Column formatting matches VZ's expectations
-
Field names and data types are aligned
-
You reduce the risk of import errors
2. Create, Update, or Delete Events via Import
Bulk event management is now possible through new import types, available under:
Imported Students > Import Students
These options let you create, update, or delete events by uploading Excel files—perfect for managing event-heavy timelines or batch edits.
Create Events
-
Use Case: Mass create new events.
-
Behavior: Each row becomes a new record.
-
Heads-Up: Re-importing the same file will duplicate the events—use once per set.
Update Events
-
Use Case: Modify event details in bulk.
-
Behavior: Matches on Event ID and applies changes from the spreadsheet.
Delete Events
-
Use Case: Remove many events at once.
-
Behavior: Matches on Event ID to delete specified records.
Pro Tip: Combine Both Tools
Create a few events manually → Export them → Edit the file → Re-import using the appropriate type (Create, Update, or Delete).
This approach saves setup time, reduces formatting errors, and keeps everything aligned with system expectations.
