Overview
Need to ensure a student is placed in a specific session—regardless of filters, capacity, or event status—without completing the reservation on their behalf? The new Guarantee Event Access option makes it possible.
This feature allows staff to lock in a student’s event access directly from their reservation record, ensuring a smooth experience when they return to finish the reservation themselves.
How to Use It
To guarantee access to a specific event:

Open the student’s reservation record.

Select the desired event on the Dates page.

Click Save.

Check the box labeled Guarantee Event Access.

Click Save again.
The selected event will be pre-selected when the student logs in and will remain available to them no matter what—even if it becomes full, hidden by filters, or closed to others.
Important Note
If the student changes their selection on the Dates page, the guaranteed access will no longer apply. The system will then use standard eligibility and capacity rules for the new event.
