Student Side Overview: Navigating the Student Experience in VZO
🔍 What Students See Upon Login
When a student logs into VZ, they land on their My Task List. This landing page functions as a visual checklist of everything the student needs to complete for orientation.
📌 My Task List Overview
The task list displays all required steps grouped by status: current, upcoming, completed, or all.
There are three types of steps students may encounter:

Automated Steps: These update automatically within 1–2 hours once the system detects that the requirement has been met.

Manual Steps: Students are responsible for marking these complete after taking action offline.

Pending Steps: These are not yet available to the student due to prerequisites or date-based release.
Each step may include an optional help icon with additional guidance, and instructions can appear at the top of the page.
💼 Top Navigation Menu (Hamburger Menu)
Students can navigate through the following links:

My Task List: Default landing page.

My Reservation: Displays a full snapshot of all reservation details and checklist items.

My Schedule (if enabled): Displays assigned orientation sessions. Only available for clients using this optional feature.

Check-In QR Code (if enabled): Displays student and supporter QR codes for quick event check-in. Only appears if QR Code Check-In functionality is enabled by VZ.

Notifications: Shows all system-generated emails and texts sent to the student.

FAQs: Optional help content that can be configured by the admin team or linked by the VZ team to a university FAQ page.

Send a Message: Allows students to message staff directly through a contact form. These messages can be accessed and replied to by administrators via the control panel.

🗳 Reservation Page
This page is structured into checklist items that vary by client. All checklist items must be completed in order for the student to submit their reservation.

🔧 Checklist items and their order vary per client and can be edited by VisualZen staff.
✏️ Editing Capability
Students can edit the content in each checklist item unless a specific field is set to read-only.
Checklist items can be locked from editing if:

A lock date is configured within the event setup.
-
The student is registered for that event.
This allows institutions to freeze information after a certain date, such as prior to event start.
🌐 Branding, Help, and Admin-Editable Elements
The student interface includes a number of areas where client-side help content can be edited, as well as branding elements that are configured by VisualZen staff.
Editable Elements Overview:

Instruction Boxes (blue icon): Admin-controlled; appear at the top of forms or pages. Useful for announcements, tips, or instructions.

Help Icons (green question mark): Admin-controlled; provide per-step guidance next to form elements.

System Messages (red icon): Admin-controlled; appear when students encounter errors or system logic blocks. These messages are editable through the Control Panel.
Best Practice: Before go-live each season, impersonate a test student to verify all visible instructions, help boxes, and data mappings.
Social media links and all branding elements (colors, logos, header/footer, etc.) are configured and maintained by VisualZen staff.

🔹 Check-In QR Code Page (If Enabled)
If QR Code Check-In is used, the student and supporter QR codes appear here with session dates/times. These can be scanned at event check-in for attendance logging.
⚠️ Impersonation Limitations (For Admins)
Admins who impersonate a student will be logged out of the admin session. For testing or troubleshooting:

Use Impersonation in one browser (e.g., Firefox)

Keep the Admin session open in a second browser (e.g., Chrome) This allows real-time updates and troubleshooting.
