Task List Item Eligibility & Availability Tool (2025/04)
Overview
Having trouble figuring out why a student can—or can’t—see specific task list items? The new Task List Item Eligibility/Availability Tool gives you a behind-the-scenes look into how task list items are filtered for each student.
This tool works just like the Event Eligibility tool and helps staff troubleshoot, validate, and understand the logic that determines which tasks show up on a student's to-do list.
1. Check a Student’s Task List Access from Their Reservation
You can now check which task list items are available to a specific student directly within their reservation record.
Where to Find It:
Reservations > Open a student’s reservation record > Click “Check Task List Item Eligibility/Availability”
What You'll See:
Each task list item will be assigned one of the following statuses:
-
Eligible & Available
The student qualifies for the task, and it is currently visible (e.g., within date range, meets criteria). -
Eligible but Unavailable
The student qualifies, but the task is currently hidden due to:-
Future open date
-
Task being set to “hide from student view”
-
Other availability-related settings
-
-
Ineligible
The student does not meet the criteria for the task based on filters such as student type, cohort, or custom rules.
Each result includes an explanation to help staff quickly interpret visibility conditions.
2. Search for Students Without Eligible/Available Task List Items
You can also identify students who currently have no visible or available tasks, helping you proactively catch configuration issues or logic gaps.
Where to Find It:
Reservations > Search Reservations > Add Filter: “Has Eligible/Available Task List Items = No”
When to Use:
-
After updating or importing task list data
-
During onboarding or pre-launch audits
-
To catch and fix eligibility/filter issues before students log in
Important Note
This search can be resource-intensive. Processing time depends on the number of reservations and filters involved, so please use it only when needed.
