Test Record Flagging: New Controls for Imported Students and Reservations (2025/04)
Overview
Testing is an essential part of configuration and implementation in VisualZen. To support cleaner workflows and more effective testing, new tools now allow you to identify, filter, and manage test records throughout the platform.
Whether you're entering data manually, importing in bulk, searching, or reporting, you can now:

Flag records as test data

Search for only test or live records
-
Customize reports to include or exclude test records
These updates reduce confusion during setup and reporting, help separate test vs. production data, and support smoother transitions from implementation to go-live.
1. Flag Test Records When Creating Individually
When manually creating an Imported Student or Reservation, you can now mark the record as a test using a new checkbox.
Where to Find It:
Imported Students > Create Imported Student Record
Reservations > Add New Record
What to Do:

At the bottom of the form, check the box labeled “Test Record”

The system will flag the record as test data, helping isolate it during search, reporting, or troubleshooting
Best For:
Single test cases used for QA, client demos, or troubleshooting configuration behavior.
2. Flag or Update Test Records via Import
You can now use the Full Import process to either:

Create new test records in bulk, or
-
Flag existing records as test by updating their status in bulk
Where to Go:
Imported Students > Import Students
Import Type: Full Import
How It Works:

Select “Full Import” from the dropdown

Upload a file of either new or existing student records
-
Check the box labeled “Test Records” before clicking Import
Two Key Use Cases:

Create Test Records in Bulk – Upload a new file of mock students and flag them as test data during import.

Update Existing Records to Be Test – Upload a file with existing student records (matching on student ID or other import criteria) and check the box to update them as test records in bulk.
Why It’s Helpful:
This streamlines test prep and cleanup—no need to manually edit each record one by one. It’s ideal when transitioning data between environments, doing UAT testing, or preparing for training sessions.
3. Search by Test Record Status
Search tools have been enhanced to help you quickly isolate or exclude test records.
Where to Find It:
Imported Students > Search Imported Students
Reservations > Search Reservations
New Filter Option:

Leave it unchecked to include both or use in combination with other filters

4. Filter Test Records in Reports
Reporting options now allow you to define how test data is handled in the output.
Report Filter Options:

Include all records – both live and test data

Do not include test records – live data only

Only include test records – focus exclusively on mock/test data
