Troubleshooting: Student Can't See a Task or Event

If a student can’t see a task list, individual task item, or event (like orientation), this guide walks you through how to find out why—using the built-in tools inside your admin portal.

✅ Step 1: Use the Eligibility & Availability Tools

Start with the built-in tools — these give you instant feedback on why the item is or isn’t showing.

For Events

  • Go to Reservations > Reservation Record

  • Click Check Event Eligibility/Availability

  • Review the results:

    • Eligible & Available – Student can register

    • Eligible but Unavailable – Registration closed or event full

    • Ineligible – Student doesn’t meet event filters

For Task List Items

  • Go to Reservations > Reservation Record

  • Click Check Task List Item Eligibility/Availability

  • Review the results:

    • Eligible Tasks – Items the student should see

    • Unavailable – Hidden due to date range or filter issue

    • Ineligible – Student doesn’t meet filter criteria

✅ Step 2: Impersonate the Student

If the tools don’t explain the issue, impersonate the student to see their view.

  • Use the Impersonate link in the reservation

  • Confirm visibility of:

    • Event options

    • Task list

    • Specific task items


✅ Step 3: Review Event or Task Setup

If the student still can’t see the item, check the setup details.

🗓️ Events

  • Event Status = Open

  • Hide Before/After or Close Before/After dates aren’t hiding it

  • Max Capacity hasn’t been reached (check reports)

  • Filter rules:

    • Each active filter must have at least one value checked

    • If nothing is selected in a filter category, no student will qualify

    • If Student Groups are used, student only needs to match one of the selected groups

    • Filters apply based on student’s current data when they log in or are impersonated

🔍 Edge Cases

  • If a student previously qualified and already selected the event, they’ll still see it even if their data no longer matches.

  • If they never selected it and their data changes, the event disappears.

  • Admins can always assign students to events — even ones they can’t see.

📋 Task Lists

  • Task list is active

  • Correct list is assigned

  • If multiple lists match, only the first qualifying list will display

🧩 Task Items

  • Verify the assigned task list actually includes the item

  • Start/end dates are current

  • Student meets filter logic

  • Task isn’t hidden behind a prerequisite


✅ Step 4: Watch for Cap or Filter Conflicts

Cap logic can block visibility even if an event looks open.

Example:

  • Event cap = 100 students

  • Nursing major cap = 20 students

  • Once 20 Nursing majors register, new Nursing majors won’t see the event — even if spots remain for others.

The same logic applies to filtered task list items.


✅ Step 5: Adjust and Retest

You can test visibility by temporarily adjusting:

  • Remove a filter or increase a filter cap

  • Re-impersonate the student

  • If the item now appears, the issue was with filter logic or capacity
