Why Can’t My Student See a Task or Event?

If a student can’t see a task list, individual task item, or event (like orientation), this guide walks you through how to find out why—using the built-in tools inside your admin portal.

✅ Step 1: Use the Eligibility & Availability Tools

Start with the built-in tools—these give you instant feedback on why the item is or isn’t showing.

🎯 For Events

  1. Go to Reservations > Reservation Record

  2. Click “Check Event Eligibility/Availability”

  3. Review the results:

    • Eligible & Available – The student can register

    • Eligible but Unavailable – Registration closed or event full

    • Ineligible – Student doesn’t meet event filters

📝 For Task List Items

  1. Go to Reservations > Reservation Record

  2. Click “Check Task List Item Eligibility/Availability”

  3. Review:

    • Eligible Tasks – Items the student should see

    • Unavailable – Hidden due to date range or filter issue

    • Ineligible – Student doesn’t meet filter criteria

✅ Step 2: Impersonate the Student

Still unsure? Try impersonating the student to see what they actually see.

  • Use the Impersonate link in the reservation

  • Confirm visibility of:

    • Event options

    • Task list

    • Specific task items


✅ Step 3: Review Event or Task Setup

If the tools don’t explain the issue, check the settings for the item that’s missing.

🗓️ For Events:

  • Is the event published and open?

  • Has the cap been reached?

  • Do filter settings match the student’s profile?

📋 For Task Lists:

  • Is the task list active?

  • Is the correct list assigned?

  • Does the student qualify for more than one list? (Only the first match will display.)

🧩 For Task Items:

  • Is the item published?

  • Are start/end dates current?

  • Does the student meet the filter logic?

  • Is the task hidden behind a prerequisite?


✅ Step 4: Watch for Cap or Filter Conflicts

A common issue: filter-based caps.

Example:

  • Event has room for 100 students

  • But Nursing majors have a separate cap of 20

  • Once the 20 Nursing spots are taken, new Nursing students won’t see the event—even if others still can

The same logic applies to some task list items filtered to specific groups.


✅ Step 5: Adjust and Retest

You can test visibility by temporarily adjusting the item:

  • Remove a filter or increase a filter cap

  • Re-impersonate the student

  • If the item appears, the issue was with filter logic or cap limits
